How to find specialists near your research site who treat your study population

Which specialties should you start with?

The ones that see your study population most often. How far from the site should you look?

As far as a patient will realistically travel for repeat visits. Proximity matters to physicians too: in a survey about Alzheimer's trials, the odds of a physician being likely to refer were about four times higher when they practiced close to a research center (PubMed). Start with a tight radius and widen it only if the specialist count is too small.

Where do you get the physician list?

The NPPES NPI Registry, run by the Centers for Medicare and Medicaid Services, is the public directory of National Provider Identifiers. It is free, and it can be searched by specialty (taxonomy), city, state, and ZIP code. Records include the provider's name, credential, specialty, practice address, and phone number, which is enough to build a first outreach list.

How do you turn the raw list into an outreach list?

  1. Filter to active individual physicians in the target taxonomies.
  2. Remove duplicates and group physicians who share a practice address, so one practice is not buried in mail.
  3. Verify practice addresses before mailing, since a listed address is not always where the physician sees patients.
  4. Prioritize community practices. Tufts CSDD found physicians in clinical practice are 2.7 times more likely to refer than those in hospital based settings (Tufts CSDD).
  5. Rank by relevance: core specialists first, adjacent specialties and primary care second.
